Forgetting Shipping Costs
A $40 item with $15 shipping is a $55 item. Treating the base cost as the total cost is the single most expensive mistake. Always enter shipping as a separate column and let the formula add it up.
Deleting Sold Rows
Never delete a row. Change the Status column to "Sold" instead. Deleted rows destroy your historical data, making tax reporting and trend analysis impossible.
Typos in Category Names
"Shoe" and "Shoes" are two different categories to a filter. Use the drop-down list in your template instead of typing manually. One typo breaks your entire category analysis.
Ignoring Currency Conversion
If you buy from international suppliers on oocbuy.com, enter costs in your home currency. Buying in dollars and tracking in euros without conversion makes your margin data meaningless.
Not Updating Statuses
A sheet full of "Ordered" statuses from three months ago is useless. Update to "Received" and "Sold" as events happen. The Status column is your cash-flow compass.
Overwriting Formulas
If you paste raw data over a formula cell, the formula is gone forever. Always paste values only (Ctrl+Shift+V) when importing bulk data into a sheet with live formulas.
No Backup Copies
Google Sheets auto-saves, but accidents happen. Make a duplicate copy at the end of each month labeled "Backup_March_2026". It takes five seconds and can save months of data.
